The Private Dining Room… What Is It, and How Can You Use It To Stay Within Budget For Your Next Event?

Budget. We’re all working with one. If you don’t know your total budget or don’t have a clear
event budget in Chicago, you’ll quickly discover just how wide the price range can be.
Chicago has every type of venue you can imagine, but what if you’re dealing with a tighter budget? Here’s a little secret: there’s a category of venues that corporate teams have long used for upscale networking events, business dinners, and even small receptions—Private Dining Rooms (PDRs).
The PDR – Private Dining Room…What is it?
A Private Dining Room is exactly what it sounds like, a dedicated, private space within a restaurant that feels like your own venue. You’ll have a team of staff serving only your group.
Unlike a full restaurant buy-out (where the entire restaurant closes to the public), a PDR gives you an exclusive, elevated experience in a smaller space—without the cost of taking over the whole restaurant or renting a venue and bringing in a full-service caterer.
Some PDRs include outdoor terraces. Others feature private chefs, built-in bars, or even DJ booths. Whether you’re an engaged couple planning a rehearsal dinner or a business hosting a client appreciation night, PDRs offer a stylish and cost-effective option while still allowing personal touches.

How Do They Work and What Can You Expect to Pay?
Most PDRs operate on a food and beverage minimum.
That means you don’t pay extra to rent the room, but you do agree to spend a set minimum at the restaurant. These minimums can range from $900 to $8,000, depending on the venue, time, and day.
Planner Tip: Always confirm whether the minimum includes alcohol as well as food. Most restaurants will be upfront about this, and it can make a big difference in your planning. Most PDR minimums do not include tax and gratuity, so don’t max out your budget on the restaurant's minimum and remember to factor this into the total budget.
How Many People Can PDRs Accommodate?
Since PDRs are part of a working restaurant, they typically have smaller guest capacities—usually 8 to 65 guests, but there are some with higher capacities, and things change if you decide to have a cocktail reception. This makes them perfect for:
Couples planning intimate weddings, rehearsal dinners, or engagement parties
Businesses hosting leadership meetings, networking events, or executive dinners
Most PDR bookings include 2–3 hours of use. If you’d like more time, some restaurants will allow an extension (if there isn’t another reservation). Be prepared for an additional hourly rental fee, which can range from $250–$1,200 per hour.
BUT DECOR??? How to Make a PDR More YOU?
One of the best parts about a PDR is how flexible they can be. Of course, each space you inquire about will have different rules, but simple decor additions like the ones below are usually completely fine.
Flowers/Centerpieces & Tea Lights
Signage (ask if they have an easel!)
Bringing in a musician - “Grab that mic, Uncle Bob!” or a pianist, whatever.
A cake!
Most restaurants work off a pre-set menu for groups renting a PDR, and at times have seasonal offerings, so it’s important to ask what customization is offered.
Why Choose a Private Dining Room?
Great food and attentive service
A stylish, private space that feels exclusive and often luxurious
Budget-friendly compared to full restaurant or large venue buy-outs in the middle of the city.
Whether you’re planning a wedding-related event or looking for a sophisticated corporate solution, PDRs are one of the most versatile hidden gems in Chicago and everywhere!
